A mandatory site visit will be conducted on July 28, 2025, starting at 8:30 a.m., at City Hall. 

To All Prospective Bidders: Please note that there is a correction to the timeline listed in the Request for Proposals (RFP) posted. The Mandatory Site Visit will take place on Monday, July 28, 2025, as shown in the timeline, not July 21 as stated in the top of the document. All other details of the RFP remain unchanged. We appreciate your attention to this correction and look forward to your participation.

 

PURPOSE

The City of Gardner is seeking a licensed contractor or generator equipment vendor to remove and replace our existing diesel backup generator system. The new system should match or exceed the performance of our current unit, which is a Caterpillar 3406 B-based diesel generator with approximately 350 kW output at 480V, 3-phase, 60 Hz.

SUBMISSION INSTRUCTIONS

Respondents must submit four (4) printed copies and one (1) digital copy (USB flash drive or CD) of the proposal no later than 10:00 AM on Tuesday, July 29, 2025. Any proposals received after 10:00 A.M. will be deemed ineligible. Please submit the proposal in a sealed envelope.

PUBLIC BID OPENING NOTIFICATION

Proposals received in response to this Request for Proposal will be publicly opened and read aloud at 10:00 a.m. on Tuesday, August 5, 2025, at the following location:

Respondents are welcome, but not required, to attend the bid opening. Only the names of the firms submitting proposals and confirmation of receipt will be announced; no evaluation or award decisions will be made at that time.

DEADLINE FOR INQUIRIES
