Purpose Overview
The District is seeking proposals for modifications of theatrical spaces and equipment at each of its four middle school facilities. Addresses are listed on the drawings for each building. The intent is for the District to enter into a contract with the successful bidder. Under this solicitation, the District will consider bids based upon what constitutes the lowest and best responsive bid.
Description of Lawrence Public School District
Lawrence Public Schools serves approximately 10,646 students from pre-kindergarten through grade 12 in Lawrence, Kansas. Lawrence, a city with a population of 95,000, is located 45 minutes west of Kansas City and 30 minutes east of Topeka. The district is the seventh largest in Kansas and includes 23 school campuses and various specialized centers.
The 23 school campuses, including an early childhood program (birth-age 5), 11 elementary schools (grades K-5), featuring the first public Montessori school in Kansas, four middle schools (grades 6-8), and two comprehensive high schools (grades 9-12). Additionally, we have the NSBA Award-Winning College and Career Center (grades 9-12), a K-12 virtual school, the Pinckney Community Connections Center for students ages 18-21, Adult Education Services (ages 18+), the Native American Support Services (NASS) building, the Facilities & Operations (F&O) campus, and the Educational Support Center (ESC).

• Deadline for district to receive IFB questions: Thursday, January 29, 2026, 2:00 PM (CST)
• Answers/Addendum Due: Friday, January 30, 4:00 PM (CST)
• Deadline for submission of IFB: Thursday, February 5, 2026, 2:00 PM (CST)
• Anticipated Board of Education approval: Monday, February 23, 2026

The work of the project is defined by the contract documents and consists of the following:
1) The project entails modifying existing theatrical equipment, generally in the areas of the existing performing arts auditoriums and stages.
2) Any adjacent areas damaged during construction, regardless of the cause, must be repaired or replaced to the satisfaction of the Design Team Representative and the Owner’s Representative at no additional cost to the Project.
3) The buildings will remain occupied and operational throughout the construction within the building area.
4) Conflicting criteria should be identified/questioned at the pre-bid meeting or reported in writing to the Design Team Representative and the Owner’s Representative for resolution before submitting bids. After bids are submitted and pricing is accepted, any subsequent discrepancies will be resolved in favor of the more stringent criteria. All bidders are advised to thoroughly review the complete project scope and actual project location before submitting their pricing.

Pre-bid Meeting
A pre-bid meeting and site tour will be held as noted above beginning with a meeting at 711 E. 23rd St, Building A, Lawrence, KS 66044. Tours of the facilities will be available for interested bidders immediately following. All attendees must check in at the front office desk upon arrival, and may be required to present photo ID when touring school facilities.
Submission Details
Submit one (1) bound copy and one (1) flash drive with the bid response in PDF format, or the one (1) bound copy and an electronic bid to bidslawrenceusd497@usd497.org no later than Thursday, February 5, 2026, 2:00 PM (CST). The proposal must be submitted in PDF format and attached to an email with the subject line: “IFB-FY25-0009.” Proposals submitted via telephone, personal email, or facsimile will not be accepted. The District’s email timestamp will be the official reference for submission.
